Privacy Policy and Call Recording

This notice explains what personal information Turbo Speed collects when you visit our website, contact us, call us or buy from us, why we use it, who we share it with and what your rights are under UK data protection law (UK GDPR and the Data Protection Act 2018).

Who we are

Turbo Speed Limited (company number 15586526, registered in England and Wales), Unit 3B Sanders Lodge Industrial Estate, Rushden, NN10 6BQ. We are the controller of the personal information described here. Our workshop is in Rushden; in Greater Manchester we collect and deliver.

What we collect and why

  • Enquiries (website form, email, WhatsApp, phone): your name, phone number, email, vehicle and registration, and what you tell us about the job. We use it to reply, quote and carry out the work. Lawful basis: steps before a contract at your request, and our legitimate interest in answering enquiries.
  • Orders and jobs: contact and delivery details, the parts or services ordered, payment status, collection and delivery records. Lawful basis: performing our contract with you; keeping invoices and accounting records is a legal obligation.
  • Vehicle lookup: when you enter a registration on our website we look up the vehicle's make, model and engine to show parts that fit. We do not look up the keeper.
  • Payments: card payments are handled by a specialist payment provider. Card numbers go directly to the provider and never reach our servers; we only receive confirmation that a payment was made.

Call recording

Calls to and from our business phone numbers are recorded. When you call us during opening hours you hear a short message before you are connected: "Calls are recorded for training, quality and to keep a record of your enquiry."

Why we record calls

  • to keep an accurate record of what was agreed - part numbers, prices, vehicle details, collection and delivery arrangements;
  • to resolve complaints, warranty claims and disputes fairly;
  • for staff training and to check the quality of our service.

Lawful basis: our legitimate interests in the purposes above. We have balanced these against your privacy: recordings are kept securely, only staff who need them can listen to them, and they are deleted after the period below.

Call notes made automatically

To save you repeating yourself, calls are converted to text and a short written summary of the call (for example the part, vehicle and next step) is added to your customer record. The speech-to-text and summary are produced by a specialist automated service acting on our behalf under a data processing agreement. It may not use the content of our calls for its own purposes, including training its models. This service processes data in the United States, protected by the UK International Data Transfer Addendum. No decisions about you are made automatically - the summary is a note for our staff.

If you would rather not be recorded

Tell the member of staff at the start of the call, or contact us by email or WhatsApp instead. You can also ask us to delete a recording or summary, or object to this processing, using the contact details above.

How long we keep it: call recordings for 12 months; written call summaries as part of your customer record (see How long we keep information).

CCTV

We use CCTV at our Rushden site (Unit 3B Sanders Lodge Industrial Estate). Signs at the entrance tell you that cameras are in use.

  • Why: to keep the premises, vehicles and customers' parts secure, to prevent and detect crime, and for the safety of staff and visitors.
  • What is recorded: images only - no sound. Cameras cover the entrance, yard and workshop areas. They are not placed in toilets or staff rest areas, and they are positioned to avoid neighbouring properties as far as possible.
  • Lawful basis: our legitimate interests in security and safety.
  • Who can see it: only authorised staff, when needed for the purposes above. We may share footage with the police or our insurers if it is needed to investigate an incident.
  • How long we keep it: footage is overwritten automatically after 30 days, unless we need to keep a clip longer to deal with a specific incident or claim.

You can ask for a copy of footage of yourself - please tell us the date, approximate time and location so we can find it.

Our website and cookies

We do not use advertising or analytics cookies, and we do not track you across other websites. Your browser stores your basket and the vehicle you selected (local storage) so they are still there when you come back; this stays on your device. When you pay, our payment provider sets the cookies it needs to process the payment and prevent fraud. Our web server keeps standard access logs (IP address, pages requested, browser) for security for up to 90 days.

Who we share it with

We do not sell your data. We share it only with service providers who help us run the business, under contracts that require them to protect it:

  • telephone and messaging providers;
  • speech-to-text and call summary services (see Call recording);
  • payment processing;
  • hosting of our website and business systems;
  • couriers delivering your parcel (name, address, phone, email);
  • WhatsApp, if you choose to message us there;
  • our accountants, and HMRC or other authorities where the law requires it.

Some providers process data outside the UK (in the EU and the United States). These transfers are protected by UK adequacy regulations or the UK International Data Transfer Agreement / Addendum. You can ask us for details.

How long we keep information

  • Enquiries that did not lead to an order: 2 years from the last contact.
  • Orders, invoices and job records (including call summaries linked to them): 6 years after the end of the financial year, as required for tax and accounting.
  • Warranty and test reports for parts we supplied or reconditioned: for the warranty period plus 6 years.
  • Call recordings: 12 months.
  • CCTV footage (Rushden): 30 days.
  • Website access logs: 90 days.

Your rights

You can ask us for a copy of your information, or to correct or delete it, or object to how we use it - just contact us. If you are unhappy with how we handled it, please tell us first so we can put it right; you can also complain to the Information Commissioner's Office (ico.org.uk).

Changes to this notice

We will update this page if the way we use personal information changes. The date at the top shows the latest version.
